§ Product
What it is and what it does.
Vizion Flow is dental practice management software that also fills the chairs. One half is everything you do with a patient in front of you — charting, treatment plans, clinical notes, prescriptions, imaging, the appointment book, GST invoicing, consent and compliance. The other half is everything that happens when nobody is looking — the enquiry at 10:48pm, the plan that was declined in March, the patient who never came back, the chair that just went empty. Every other system records what happened. Flow records it and then acts on it.
It is a practice management system. The follow-up engine is attached to it, and that is the entire point: the recall knows what the dentist actually found, the chase knows what the patient declined and what it was worth, and the ad reporting knows what the patient was eventually treated for. A marketing tool bolted onto someone else's records cannot do any of those things, because it never sees the clinical side.
No, and it is not going to. Flow shows the dentist what the machine captured — full screen, side by side across dates, measured and annotated if you want it — and stops there. It does not tell you what you are looking at. Diagnosis is the dentist's, and software that appears to make that call is a medical device with a different regulator behind it.
The messages are written to sound human, not like a bot, and they reply in whatever language and script the patient wrote in. When a conversation turns complex or sensitive, it hands off naturally to your team — inbound replies land in the dashboard for a person to answer.
No. It removes the repetitive follow-up work; judgment stays human. The dashboard itself is designed around one question: would a tired receptionist at 7pm feel in control, or overwhelmed, looking at this?
No — deliberately. Advertising isn't our craft, and we'd rather refer you to a partner than do it half-well. What Flow does is tell you what each ad cost you per booked patient rather than per click, which is the number your agency cannot give you because they never see who sat in the chair.
§ At the Chair
The half you use with gloves on.
Adult, paediatric and mixed dentition, FDI numbering, every surface — three taps per finding, or say it out loud and it charts itself. Six-point periodontal charting is included on both plans, with voice entry and a visit-to-visit comparison. Medical history carries a red-flag banner that cannot be dismissed.
Yes, and it is the single most valuable thing in the system. A declined or deferred plan is recorded with a structured reason rather than a note nobody reads — which is what makes it possible to ask again, properly, at the right time, instead of never at all.
Captured straight onto the chart, against the tooth they belong to. An assistant can shoot clinical photos on a phone through a QR code and they land on the right patient without anyone emailing anything. Compare, measure, annotate and full-screen patient presentation are on Growth; capturing an image and viewing it full size is on both plans and always will be — a clinic that cannot see the X-ray it just took because of its plan is a patient-safety failure with our name on it.
There is a dental formulary, and drug-allergy blocking is a hard stop rather than a warning you can click past. Clinical notes are append-only: a note can be added to, never quietly rewritten, and every change sits in an audit trail nobody can edit — including us.
Yes. A patient's record links to their ABHA number, and every consent your clinic takes is logged in a DPDP consent ledger with what it covered and when it was given. Consent forms are presented in the patient's own language and signed on screen.
Video consultation runs in the browser — no app for the patient to install — and the call attaches to the patient's record like any other visit. Useful for a first opinion and for post-op checks.
§ Pricing
What it costs.
One fee, once a year. Base is ₹35,000 a year and includes 6,000 marketing messages a year; Growth is ₹45,000 a year and includes 10,000 marketing messages a year. Beyond the bundle, marketing messages are ₹1.40 each on Base and ₹1.25 on Growth. Utility, reminder and reply messages are free and unmetered on both.
No, and there never will be. There is no monthly plan and there never will be. If you would rather spread the annual fee, you can arrange your own EMI with a healthcare lender — CarePay and Bajaj Finserv Health both do this for clinics. That is your contract with the lender, not with us: we invoice the year, you settle it however you have arranged.
Your first year is ₹24,990 instead of ₹45,000, with every Growth feature and the full 10,000-message bundle. The ₹9,990 setup and onboarding fee is waived entirely. Year two renews at the standard ₹45,000 — by which point you will have a year of your own numbers to judge it on. The offer closes on 30 September 2026. That is a real date, not a rolling countdown: it will not be quietly extended, and there is no timer on this page pretending otherwise.
The whole clinical record is on both — charting, perio, treatment plans, notes, prescriptions, imaging capture, the appointment book, GST invoicing, consent, ABDM, the audit trail and full export. Base adds the front door: instant reply, nurture, reminders, no-show and missed-call recovery. Growth adds the back catalogue and the operations half — the declined-treatment chase, clinically-driven recall, balance-due recovery, referrals and reviews, ad cost per booked patient, consultant commissions, lab workflow, stock and implant traceability, sterilisation logs, payment plans, and up to three locations.
Two, and we keep them itemised. ₹9,990 for setup and onboarding — the guided ~14-day target covering your WhatsApp Business API, your data migration, configuration and training — and ₹14,990 for your website, redesigned or built new. Setup is due before we begin; the website is due at go-live, so if you decide not to launch you never pay it. Under the introductory offer the setup fee is waived entirely.
In practice, yes — the website's enquiry form is one of the things that feeds Flow, so it's infrastructure rather than an upsell. It is priced on its own line so you can see exactly what it costs, and so it can be waived or reduced on its own.
Growth supports up to 3 locations; each one beyond the first is a ₹14,990 one-time onboarding add-on. Enquiries beyond your monthly allowance are never blocked and never stop being captured. On Growth they bill quietly at ₹3,990 per 500 additional enquiries, on your normal invoice.
All prices are exclusive of GST. Velvet Vizion's GST registration is in process — until it is effective, invoices carry no GST; once it is, GST is added at the applicable rate.
§ The Free Trial
The free month, and what it settles.
One month on Growth, free. You get the whole product for a month — the clinical side and the follow-up side — on Growth. There is no monthly plan to fall back on, so at day 31 you choose Base or Growth, or you walk away.
An active UPI Autopay mandate, and that is the only condition beyond the message cap. Marketing messages during the trial are capped at 2,000 marketing messages for the month.
Messages sent during the trial are not free and are not billed monthly. If you sign up, they simply come out of the annual bundle you have now paid for. If you walk away, they are invoiced at ₹1.25 each — the trial runs on Growth, so it settles at Growth's rate.
You choose Base or Growth, or you walk away. There is no monthly plan to fall back to, so it is a real decision rather than a default. If you walk away, you are invoiced for the marketing messages you sent and nothing else, and you can export everything in the account first.
Your number, your name.
Your clinic's own. Every clinic on Vizion Flow gets its own WhatsApp Business Account, its own dedicated number, and its own Meta-approved display name — never a shared sender, never another clinic's overlap.
A phone number dedicated to the WhatsApp Business API — one that's not active on the regular consumer WhatsApp app. Setup is guided end-to-end via Meta's Embedded Signup.
Two steps belong to Meta, not to us: business verification and WhatsApp display-name approval, both per-clinic. They usually cooperate; when they don't, we tell you exactly where things stand. Fourteen days is our target, not a stunt promise.
Utility, authentication and service messages — booking confirmations, appointment reminders, no-show reschedule nudges, feedback requests, and replies to a patient who messaged you first. They are free and unmetered on both plans, however many you send. Only marketing messages count against your bundle.
§ Messages & Billing
The messages and the invoice.
Anything promotional: campaign broadcasts, promos, re-engagement pushes, recall nudges, referral and review asks — anything with a "book now" in it. Confirmations, reminders and service replies never count.
Meta does, not us. WhatsApp classifies every message template, and Meta's own delivery receipt is the billing source of truth. Meta can also reclassify an existing template — for example from utility to marketing — which can change whether messages sent under it count against your bundle. That is outside our control, and we'd rather you know it up front than find it on an invoice.
Nothing stops. Messages beyond the bundle bill at ₹1.40 each on Base and ₹1.25 on Growth, on a monthly invoice in arrears. There is no cliff, no block and no upgrade prompt in the way of a message you meant to send.
No. The bundle is an annual allowance rather than a balance you own — it resets with your plan year. We would rather say that here than have you find it in a clause.
No. Campaigns are unlimited on both plans. You pay per message, not per campaign — so running four smaller, better-targeted campaigns costs the same as one big one of the same size.
In real time, on the dashboard: how much of your bundle is used, what anything beyond it has cost so far this month, and what the invoice is heading toward. Nothing hidden.
One annual fee for the plan, paid for the year. Marketing messages beyond your included bundle — and nothing else — appear on a monthly invoice in arrears. Most clinics never see one. Signup includes a UPI Autopay mandate. Any monthly invoice is due on the 5th of the following month, 12:00 ist, and auto-debit is attempted three times — on the 5th, 6th and 7th.
If it's still unpaid on the 8th, a one-time late payment fee of ₹1,500 or 10% of the invoice, whichever is higher, capped at ₹10,000 is added — charged once per invoice, never compounded — and marketing sending pauses. Appointment confirmations and reminders keep going out, because a patient should never miss an appointment over a billing dispute. At 30 days the account becomes view-and-export only: your clinical records stay readable and fully exportable throughout. Everything restarts within minutes of payment.
§ Onboarding & Migration
Moving in, and getting set up.
Three years of records inside BestoSys, Dentee, KiviHealth, a spreadsheet or a stack of registers is not a reason to stay — it is the only reason most clinics stay. We move it for you, as part of onboarding, before you pay anything beyond the setup fee.
We work to a ~14-day target. Two steps sit with Meta — business verification and display-name approval — and can take longer; when they do, you'll know exactly where things stand.
Very little by design. Onboarding is done for the clinic, not by the clinic — the migration, your website, WhatsApp setup, configuration and training are all handled in the guided setup.
They learn one layout, and then they can choose how it looks. Vizion Flow ships with two appearances — Velvet, which is bold and high-contrast, and Clinic, which is calm and traditional — switchable per person in Settings. It changes colours and type only, never what is on screen or where anything is.
§ Your Data
Your data, your record.
Full export of everything — patient records, clinical history, imaging, billing and lead history — on either plan, at any time, for no fee and with no notice period. Not a support ticket, not a retention call, not a negotiation. A button. We would rather you be able to leave easily and choose to stay. Software that keeps clinics by making the exit painful is software that has stopped trying.
Nothing is deleted on either plan — this is a reporting window, not a retention policy. Base shows the last 90 days on the dashboard; Growth shows lifetime history. Full export covers everything on both.
On Google Cloud Platform, in a Google Cloud region within India, so patient data is resident in India. Message delivery additionally runs on Meta's WhatsApp Business Platform. The detail, including our sub-processors, is in the Privacy Policy and the Data Protection Terms.
Never. Each clinic is a fully separate workspace and a fully separate WhatsApp Business Account — even if the same patient later attends a different clinic on Vizion Flow, there is no overlap.

Your team. Complex or sensitive replies land in the dashboard as a human thread — the system does the repetition, your people do the judgment.
