Privacy Policy

We collect two kinds of information.

Information you give us. When you submit the contact form, book a consultation, message us on WhatsApp, or email us directly, we receive what you choose to share — typically your name, clinic name, email, phone number, a short description of your project, and any follow-up correspondence.

Information collected automatically. When you visit this website, our hosting and analytics providers record standard technical information: the page you viewed, the referring page, your approximate location (city-level, derived from IP), the device type and browser, and the timestamp. This is the ordinary information any website records to function and to know which pages are useful.

We use the information you give us to:

• Reply to your message or consultation request.
• Schedule, run, and document our work together if we engage.
• Send a small number of relevant follow-up emails — typically project updates, never marketing campaigns.

We use the information collected automatically to:

• Understand which pages and articles are useful to readers.
• Diagnose performance and reliability issues.
• Detect and respond to abuse (e.g. spam, scraping, attempted attacks).

We do not use your information for advertising. We do not build profiles of you. We do not sell, rent, or trade your data.

A cookie is a small text file a website asks your browser to store. We use cookies in two categories.

Strictly necessary. These are required for the site to work — for example, to remember that you have accepted or declined the cookie banner so we don't ask again on every page.

Analytics (optional). With your consent, our analytics providers set a small number of cookies that help us count visits and understand how pages are used. You can decline these in the cookie banner and your decision is respected for the duration of your browser session.

We deliberately keep this list short. Each provider has its own privacy practices; we link to them so you can review.

• Vercel — hosting and content delivery. Vercel records standard server logs (page, IP, user agent, timestamp).
• Google Analytics 4 — anonymised visit analytics, loaded only with your consent. IP addresses are truncated at collection.
• Calendly — consultation booking, used when you choose to schedule a call. Calendly receives the name, email, and time you provide.
• Resend — transactional email delivery for replies to your form submissions. Resend processes the email body and address.
• WhatsApp Business — messaging, used only when you choose to message us. Your number and conversation are visible within WhatsApp.

We retain the information you give us only as long as it serves the purpose you shared it for.

• Inquiry messages that don't lead to engagement: deleted after 12 months.
• Active client correspondence: retained for the duration of the engagement and for 24 months thereafter, in case you need something back.
• Analytics data: retained for 14 months in aggregate form, then deleted automatically by the provider.

You can ask us to delete your data sooner. See “Your Rights” below.

You have the right to:

• Access the personal information we hold about you.
• Correct inaccuracies in that information.
• Delete your information, subject to any legal obligation to retain it.
• Object to processing, or to ask us to limit it.
• Port your data — we will send it to you in a common format on request.
• Withdraw consent for any optional processing (e.g. analytics) at any time via the cookie banner.

Velvet Vizion is based in Chennai, India. Some of the providers listed above (Vercel, Google, Calendly, Resend) operate infrastructure outside India — typically in the United States and the European Union. When information is transferred internationally, we rely on the relevant provider's contractual safeguards (for example, Standard Contractual Clauses where they apply).

If you would prefer your data not to leave India, tell us in your first message and we will route the engagement accordingly where possible.

We take reasonable, modern measures to protect your information: TLS encryption on every page, access controls on our internal tools, two-factor authentication on the accounts that touch your data, and a short list of staff with access.

No system is perfectly secure, and we won't pretend otherwise. If a breach occurs that affects your data, we will tell you promptly and tell you what to do.

This website and our services are intended for clinic owners and healthcare practitioners — adults acting in a professional capacity. We do not knowingly collect information from anyone under the age of 18. If you believe a minor has shared information with us, please write to contact@velvetvizion.com and we will delete it.

We update this policy when our practices change, when we add or remove a third-party service, or when the law changes. The “Last updated” date at the top of the page reflects the most recent change. If a change is material, we will say so plainly and, where appropriate, ask for fresh consent.
